Waitlist

When a slot is fully booked, the public page can offer a "join the waitlist" option. If anyone cancels, the next person in line is automatically promoted into the freed slot and emailed.

Enabling waitlist

On any event type, toggle Waitlist enabled. The setting is only visible if your org is on the Pro plan.

How a booker joins

  1. They visit your booking page and pick a slot. If it's full (e.g. it's a group event that's sold out, or the slot is taken), they see a "Join the waitlist" button.
  2. They enter their name, email, and optional phone. We confirm they're queued.
  3. They wait. We don't share their place in line by default to keep expectations clean.

Auto-promote on cancellation

When a Confirmed booking for that exact time slot is canceled (by either the booker or the host), Bookify finds the oldest waiting entry and promotes them automatically:

  • For free event types, a Confirmed booking is created on the spot.
  • For paid event types, a Pending booking is created with a 24-hour payment window. They get an email with the payment link. If they don't pay in 24 hours, the slot opens up to the next person in the queue.

Promotion is FIFO — first to join the waitlist is first to be promoted.

What the promoted booker sees

The promotion email reuses your Confirmed template (or, if you set one up, a dedicated promotion template). It mentions that they were on the waitlist and got bumped up.

What you see

The promoted booking appears in your calendar and bookings list just like any other Confirmed booking. The original waitlist entry is marked Promoted and linked to the new booking.

Limits

There's no hard cap on the waitlist length per slot, but only the first entry gets promoted per cancellation. If two seats free up, two promotions fire in sequence.
